The ClevOps Process
A clear process from first enquiry to launch.
We keep strategy, execution, tracking and optimization connected so you always know what is being built, why it matters and what happens next.
The full process
Six stages, start to finish.
Every engagement runs through the same six stages. Scope changes what happens inside them, it does not change the order.
Discovery
Understand the business and where work is lost.
Audit & Strategy
Review what exists, then decide what to do.
Build
Build only the pieces the strategy calls for.
Connect & Test
Walk the whole path before any traffic does.
Launch
Go live and watch the first leads closely.
Optimize & Scale
Improve what the data actually points at.
01Discovery
Start with the business, not the tools.
Discovery is about how your business wins work today, not about what we could build.
Until we understand where opportunities are actually being lost, anything we build is a guess.
What we learn
- The business
- The model, the offer, what a won job is actually worth, and the customer you want more of.
- How you sell
- The sales process itself: who handles an enquiry, how quickly it is answered and what happens after first contact.
- What is already running
- Current lead sources, the website, the CRM if there is one, and whatever follow-up exists today.
- The operating picture
- Service area, internal team, capacity to take on more work, and the business goals this is meant to serve.
02Audit & Strategy
Find the bottleneck before building the solution.
We review what already exists before proposing anything new.
We would rather scope less and fix the thing that is costing you work than sell every service at once.
What we review
- Website and conversion paths
- The structure of the site and the route a visitor takes from landing on it to making contact.
- Search and paid visibility
- SEO foundations, and whether paid traffic is a sensible channel for this offer at this stage.
- Lead handling
- What happens once an enquiry arrives: response speed, qualification, and who picks it up.
- Tracking and booking
- What is measured today, and how an appointment actually gets made rather than how it is supposed to.
The strategy then says three things
- Decision
Fix
What is already in place and losing you work by being broken, slow or unclear.
- Decision
Build
What does not exist yet and would remove the bottleneck we found.
- Decision
Leave for now
What is not the problem yet. Naming this matters as much as naming the rest.
03Build
Build the pieces that actually matter.
The build follows the strategy. Depending on scope it may include some of the following, rarely all of it, and never all at once.
- 01 Website
- Structure, pages and copy organised around how customers search and decide.
- 02 Landing pages
- Single-intent pages behind a campaign, where a full rebuild is not the point.
- 03 SEO architecture
- Service and location structure a search engine can read without guessing.
- 04 Campaign structure
- Google or Meta campaigns built around the services worth paying for.
- 05 CRM setup
- Pipeline stages that match the way your sales conversation actually goes.
- 06 Forms and lead capture
- Enquiry routes placed where the decision is made, not only at the bottom of a page.
- 07 Qualification logic
- Questions and routing that separate a real job from a time-waster before it reaches you.
- 08 Follow-up workflows
- An automated first response and reminders, so nobody waits while you are on site.
- 09 Booking
- A direct route from interested to a time in the calendar.
- 10 Tracking
- The measurement needed to tell which work produced which enquiry.
Not every project includes everything on this list. What gets built is decided in strategy, and anything that does not serve the bottleneck waits until it does.
04Connect & Test
Before traffic arrives, the system should work.
- Check · 01
Forms
Submitted for real and confirmed as received, on desktop and on a phone.
- Check · 02
Lead routing
Every enquiry lands where it should, from every entry point on the site.
- Check · 03
Notifications
The alerts a new lead triggers actually arrive, and reach the right people.
- Check · 04
Booking flows
Walked end to end, including the confirmation and the calendar entry.
- Check · 05
Tracking events
Verified as firing on the actions that matter, not assumed because they are installed.
- Check · 06
Mobile layouts
Reviewed at the widths people really use, because that is where first contact usually happens.
- Check · 07
CRM stages
A test lead moved through the pipeline to confirm the stages behave as designed.
- Check · 08
Follow-up logic
Triggered and timed, so the first message goes out when it should and stops when it should.
These are checks, not guarantees. We walk the path a real lead takes and fix what breaks while it is still a test.
05Launch
Launch with visibility.
Going live is a moment to watch closely, not to walk away from.
Launch is a starting point, not a finish line. Early issues are normal; catching them quickly is the job.
What happens at launch
- Publish
- The website or landing pages go live, with the pages behind every campaign ready first.
- Activate campaigns
- Where paid media is part of the scope, campaigns are switched on once the pages and tracking are in place.
- Verify tracking
- Events are checked against real activity rather than trusted because they worked in testing.
- Monitor lead flow
- The first enquiries are followed from submission to CRM to notification to confirm the path holds.
- Confirm routing
- Leads are landing with the right person, in the right stage, with the information you need to act.
06Optimize & Scale
Improve based on what actually happens.
Once real leads are moving through the system, it tells you what to fix next.
Changes are made because something in the data points to them, not to look busy.
What gets improved
- Campaign optimization
- Budget and targeting moved toward what produces enquiries worth having.
- Landing page improvements
- Changes to the pages where visitors arrive but do not convert.
- SEO growth
- Continued structure, content and relevance work, which compounds rather than finishes.
- Lead quality review
- Looking at the enquiries you are getting, not just how many, and adjusting qualification.
- Follow-up refinement
- Timing and messaging adjusted based on what people actually respond to.
- Pipeline review
- Where opportunities stall between the first contact and the booked job.
07Working together
What we need from you.
- A clear decision-maker
- One person who can approve direction without a committee.
- Access where relevant
- Website and domain, ad accounts, analytics and Search Console, and the CRM, as the scope requires.
- Service detail
- What you do, what you do not do, and where you do it.
- Offer and pricing context
- Where it affects the copy, the qualification questions or the campaigns.
- Timely approvals
- Feedback at the agreed points, so the build does not sit waiting.
- Accurate information
- We only publish what is true about your business, so we need it from you first.
No guessing where the project stands.
- A scope you have seen and agreed before work starts
- Milestones, so progress is visible rather than described
- Named approval points where a decision is yours to make
- Progress updates as those milestones are reached
- Decisions made together, with the reasoning shared
- Changes to scope documented rather than assumed
How often we check in is agreed with the scope, so it fits the project rather than a template.
08Timelines
Timelines depend on scope.
We will not quote a delivery date before we understand the work. What we can tell you is how the shapes of these projects differ.
- Project type · 01
Focused landing page projects
The shortest work we do: one page, one intent, one action behind it.
- Project type · 02
Full websites
Longer, because structure, content, every page and the conversion paths through them all have to be right.
- Project type · 03
Paid campaigns
Can start producing traffic sooner than organic work, once the pages and tracking behind them are ready.
- Project type · 04
SEO
Ongoing by nature. It compounds over time rather than completing on a date, and we will not pretend otherwise.
- Project type · 05
Automation and CRM work
Depends on complexity: how many services, stages and follow-up paths the business actually has.
You get a timeline for your scope once we have seen what is involved, not a fixed number of days chosen before anyone looked.
Ready when you are
